Reservations

Reservations can be made via our online booking form or by calling toll free at 1-844-749-0725. Deposits and payments may be made by cash (CAD), Visa, Mastercard or American Express (in some cases). Reservations will not be confirmed until payment is received.

It is the responsibility of the Client to carefully read and understand all Terms and Conditions and all tour information before submitting any form (booking , flight request, insurance, hotel accommodation) including payments required. Any questions regarding the Women’s Travel Club Terms and Conditions should be sent to info@womens-travel-club.com for clarification before purchasing any services offered by the Women’s travel Club.

It is understood by the Client that by making a booking (reservation), she has agreed to the stated tour costs and all payment details and dates as published. This contract permits price increases except if the customer has paid in full. If the total price of the travel services is increased and the cumulative increase, except any increase resulting from an increase in retail sales tax or federal goods and services tax, is more than 7%, the customer has the right to cancel the contract and obtain a full refund.

Obligation of Service

The Women’s Travel Club agrees to deliver the services and inclusions as listed for the tour to the best of their ability.Client acknowledges that unforeseen and unknown events can and do occur, due to no fault of the Women’s Travel Club that can result in not receiving the tour and forfeiting some or all the monies paid to Women’s Travel Club. These events include but are not limited to: Postponing, Rescheduling or Cancelling of tour by Women’s Travel Club; Cancellation by Traveler; Removal of a client from a tour for non-payment or other violations of these Terms and Conditions.

Client acknowledges that unforeseen and unknown events can and do occur, due to no fault of the Women’s Travel Club. No damages shall be due to a traveler for failure by the Women’s Travel Club to perform obligations related to delivery of tour services if such failure is a result of Acts of God (including fire, flood, earthquake, storm, hurricane, volcano eruption, or other natural disasters), pandemics, epidemics, war, invasion, acts of foreign enemies, cyber-attacks, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalism, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption or failure of any mode of transportation.

Entry to another country may be refused even if the required information and travel documents are complete. Travel documentation is subject to change. Living standard and practices at the destination with respect to the provision of utilities, services and accommodation may differ from those found in Canada.

Obligation of Service

The Womens’ Travel Club, at the present time, is contracted to offer travel insurance in the province of Ontario (currently with Allianz Global) and to U.S. residents (currently with Travelex). When requested, WTC can offer Clients alternative travel insurance, if available, from third-party suppliers/partners.

It is the Client’s responsibility to determine the amount of coverage she wants to purchase to protect her investment as well as understanding the Terms and Conditions of the insuring company and the policy issued. Payment of a policy purchased it required immediately using credit card details provided by Client.

Out of country emergency medical insurance is required and it is the responsibility of the traveler to obtain adequate insurance.

Forms

In order for the Women’s Travel Club to collect necessary information from Clients, the use of FORMS is required. These online forms require Clients to read and agree that they have understood the Terms and Conditions as stated. Clients provide a valid email address belonging to them that allows the WTC to communicate important information regarding their purchases. It is the responsibility of the Client to notify the WTC of any changes to their email and other contact information.

By submitting a form that will result in a charge to your credit card you are providing your electronic signature that you have authorized the Women’s Travel Club or it’s contracted suppliers to charge your credit card the specified amount on the form. You will receive a detailed invoice showing your payment and any future payments required. It is the client’s responsibility to validate the amount charged is accurate and notify the Women’s Travel Club immediately if an error is discovered. Client acknowledges and agrees that reversing a valid credit card charge she previously authorized is illegitimate.

Cancellation Penalties

Deposits and scheduled payments are non-refundable. Final payments are non-refundable after the final payment date. If the Women’s Travel Club cancels a tour due to insufficient travelers, prior to a tour being guaranteed, all payments are refundable.

No damages shall be due to a traveler for failure by the Women’s Travel Club to perform obligations related to delivery of tour services if such failure is a result of Acts of God (including fire, flood, earthquake, storm, hurricane, volcano eruption, or other natural disasters), pandemics, epidemics, war, invasion, acts of foreign enemies, cyber-attacks, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalism, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption or failure of any mode of transportation.

It is understood by the Client that each payment made to the Women’s Travel Club will be disbursed as required by the contractual terms that the Women’s Travel Club has entered into with each tour supplier/partner, in order to provide the services agreed to for the tour to which the Client is registered. As such, all required payments (deposits, second deposits/payments, final payments etc) are non-refundable after due date. If a client does not pay a scheduled payment by the due date their trip may be cancelled and no monies already paid will be reimbursed.

Tours lacking enough travelers will be cancelled and clients will be notified via email. The Women’s Travel Club will make every effort to cancel tours lacking enough travelers prior to collection of final payment. All deposits and interim payments will be promptly refunded. The Women’s Travel Club is not responsible for any other cost incurred, including and not limited to flights and extra hotel room nights. Do not make non-refundable flight arrangements prior to a tour being guaranteed.

Roommates

Roommate matching is done as a courtesy and while most matches result in wonderful friendships, success is not guaranteed. If during the tour you decide you would no longer like to share a room with your roommate you will need to request (and pay for) a single room at all accommodations. This can be shared between the two people in the room if it is a mutual decision. If you are a very light sleeper or snore you may want to consider getting your own single room.

Travel Documents & Passports

You require a passport valid for 6 months beyond the last day of travel. It is the clients whole responsibility to determine the need for and obtain travel visas. The Women’s Travel Club and TPI are not responsible for any issues arising from obtaining a passport or visa. Clients are responsible for providing their own documentation.

Travelers must be able to meet all health entry requirements, obtain the recommended inoculations, and obtain any health documentation required to enter countries the traveler will visit or transit through as part of the tour.

Any traveler who cannot obtain proper documentation to travel, no matter when or how that discovery is made, will be responsible for whatever cancellation penalties are in force at the time of cancellation from the Women’s Travel Club tour or at the time of denial of travel.

Currency

All prices shown are in Canadian funds unless otherwise stated, and include all taxes where applicable. Although it is not anticipated, prices are subject to change if there is a significant change in the status of the Canadian dollar.

Responsibility

The Women’s Travel Club and TPI are not responsible for death, bodily injury, illness, damage, delay or other loss or detriment to person or property, or financial costs both direct and indirect incurred, or for the Company’s failure to commence, perform and/ or complete any duty owed to the Client if such death, delay, bodily injury (including emotional distress or injury), illness, damage or other loss or detriment to person or property is caused by Act of God, war or war like operations, mechanical breakdowns, terrorist activities or threat thereof, civil commotions, epidemics, pandemics, labor difficulties, interference by authorities, political disturbance, howsoever and where so ever any of the same may arise or be caused, riot, insurrection and government restraint, fire, extreme weather or any other cause whatsoever beyond the reasonable control of the Company the consequences of which could not have been avoided even if all due care had been exercised; or an event which the Company or the supplier of services, even with all due care, could not foresee.

Living Standards

Be advised that other countries may have different living standards with respect to the provision of utilities, services and accommodations.

Itinerary Disclaimer

While it is our intention to adhere to the itinerary described on occasion it may be necessary, or desirable to make alterations. All itineraries and accommodations are subject to change.
Tour itinerary may be altered prior to departure at the sole discretion of the Women’s Travel Club to facilitate the tour, to protect the health and safety of our travelers, and when events occur that are beyond the control of the Women’s Travel Club. Accommodations listed are subject to change and may be replaced with similar accommodations.
Once a tour has departed, itinerary changes may be necessary as a result of unforeseen circumstances, operational concerns, or concerns for traveler health, safety, enjoyment or comfort. Any itinerary changes are at the sole discretion of the Women’s Travel Club or our local supplier.

Traveler Responsibility

Illegal drugs will not be tolerated on any trips. Possessing or using drugs not only contravenes the laws of the land but also puts the rest of the group at risk. Travelers are expected to be considerate of fellow travelers, the tour leader, local tour guides and any people encountered. Unkind and rude behaviour will not be tolerated. The Women’s Travel Club Tour Host has the ability in extreme circumstances to expell a traveller from the group and no refund will be issued.
The Women’s Travel Club reserves the right to remove any traveler from a tour should it be determined that the traveler is adversely affecting the overall group dynamics, is a danger to herself or others, or is willfully ignoring the instructions of the Women’s Travel Club Tour Host or its representatives to the detriment or safety of the group. In the event a traveler is removed from a tour, the Women’s Travel Club will not refund any monies. Transportation costs to return home, airline penalties, and any other expenses will be the responsibility of the traveler.
In the event a traveler chooses to leave a tour prior to its scheduled conclusion, the Women’s Travel Club will not refund any monies for the unused portion of the tour arrangements. Transportation costs from tour departure point to the airport, airline penalties, and any other expenses will be the responsibility of the traveler.

Photographs and Media

Traveler acknowledges that they grant the Women’s Travel Club, royalty-free license to use my photographic, video, or digital likeness solely for promotional, educational, and/or commercial purposes. Guest hereby gives full consent to the Women’s Travel Club to use and publish Guest’s likeness on advertisements, and acknowledges that The Women’s Travel Club or TPI does not compensate guests in any manner for the use of images in any of the following: photographs, images, drawings and renderings, and for the use of including but not limited to: Women’s Travel Club website, brochures, advertisements, bulletins, media releases, newspaper and magazine articles, and any other form of promotion, information and publication, both print and digital.

Traveler Delay

Travelers who are delayed for whatever reason are responsible for notifying the Women’s Travel Club of their situation and to communicate regularly with the Women’s Travel Club as to their anticipated arrival time. Delayed travelers are responsible for joining the group as soon as possible and at their own expense if their arrival occurs after the last scheduled transfer.
